Financials is the workspace-wide invoice index: every invoice on every trade in one list, with what’s been paid and what’s still open. Use it to answer “what do we owe, what are we owed, and what’s late” without opening trades one by one.
Available when the Financials module is turned on for your workspace. Ask your workspace admin. This is separate from the Financials tab on each trade, which is covered in Trade financials.
Before you start: an invoice appears here once it’s been approved in the Inbox. To record payments, close invoices or net AR against AP, you’ll work from the trade’s Financials tab.

What’s outstanding

The two figures at the top are Outstanding AR (money owed to you) and Outstanding AP (money you owe), one amount per currency. Amounts in different currencies are never added together, so you see, for example, “USD 1.2M · EUR 340K” rather than a single converted total. For Veltana Commodities SA with only the sugar trade VCS-S-2026-0714 open and nothing paid yet, the figures read USD 15.26K outstanding AR (the USD 15,255.00 sale invoice to Meridian Foodstuffs) and USD 14.26K outstanding AP (the USD 14,256.00 invoice from Kanchana Siam Sugar).

Find an invoice

Narrow the list with:
  • Direction: All, Receivable, Payable, or Needs direction for invoices Mercora couldn’t place on either side.
  • Status: Any status, Open (something still outstanding), Overdue, or Settled / closed.
  • Search: matches the counterparty, invoice number or trade reference.
The heading shows how many invoices match, out of the total.

The invoice list

The colored edge on each row shows the side: receivable or payable. Click the arrow at the start of a row to see its payments without leaving the list, or Expand all to open every row. Click the row itself to open the invoice. The list updates by itself as invoices are approved and payments are recorded elsewhere.

Statuses

Sorting by status puts the most actionable invoices first: unpaid, then partial, overpaid, paid, closed and superseded.

Overdue

The Overdue filter shows invoices with an outstanding balance whose due date has passed.
The Overdue payments report goes one step further: it reads payment schedules, so an invoice whose next installment isn’t due yet isn’t counted as late there. Use the report when you’re chasing payments.

The invoice page

Open an invoice to see everything about it on one page.
  • The figures at the top: Invoiced, Settled (payments, adjustments and linked invoices together) and Outstanding, with the date the outstanding amount is judged by.
  • Details: counterparty, direction (AR or AP), trade, invoice number, currency, issue and due dates. You can correct them here, or link the invoice to a different trade.
  • Source: the original document and its review status.
  • Payments and Adjustments: every settlement line. Record payment (or Record cash in the Payments card) adds a payment, and Add in the Adjustments card records an adjustment such as a bank charge or deduction.
  • Payment schedule: the installments, if the invoice is paid in parts. See Payment schedules.
  • Lines: the line items read from the invoice, with Subtotal, Tax and the total. If the lines don’t add up to the subtotal, or subtotal plus tax doesn’t reach the stated total, the gap is shown as Unexplained so you can see a charge that was missed.
  • Any custom fields your admin has added to invoices.
Record payment on the invoice page records the amount, date and a reference. It doesn’t ask for an exchange rate. For a payment on an invoice in a different currency from its trade, record it from the trade’s Financials tab so the rate the bank used is captured.
Closing, reopening, linking an earlier invoice and netting are done from the trade’s Financials tab. See Trade financials.

Netting

Netting offsets receivables against payables so only the difference is paid. It’s done per trade: select the invoices on the trade’s Financials tab and click Collect →. See Net AR against AP. The netting payments then show on each invoice here like any other payment.
