# Members

> Invite teammates, share their invite link, change their role, and remove members from your workspace.

Manage who can use your workspace under **Settings → Members**: invite teammates, share their invite link, change their role, and remove them. The page lists every member with their **Email**, **Role**, **Status** and **Last sign-in**. Your own row is marked **You**.

* **Invited** means the member hasn't finished setting up their account yet.
* **Active** means they have signed in.

Settings → Members with one active admin. Manage roles opens the roles, and Invite member starts an invite.

## Who can do what

| Action | Who can do it |
| - | - |
| See the Members and Roles pages | Admins, and members whose role has **User access** at **View** or **Edit** |
| Invite members | Admins |
| Create a new invite link | Admins |
| Change a member's role | Admins, and members whose role has **User access** at **Edit** (with limits, below) |
| Remove members | Admins |
| Create and edit roles | Admins |

Members with **User access** at **View** see the list and each member's role, and can open **View roles** to see what each role grants, but can't change anything.

## Invite a member

**1. Open Members**

Go to **Settings → Members** and click **Invite member**.

**2. Enter their details**

Enter their work **Email** and choose a **Role**. Each role in the list shows its description. You can [set up roles](https://docs.mercora.io/concepts/roles-and-permissions.md) before or after inviting.

**3. Click Send invite**

Mercora creates the member and emails them the invite, from Mercora, with you named as the person who invited them. Replies to it reach you.

**4. Check it went**

An **Invite emailed** window opens with their invite link. If the email doesn't arrive (a spam filter, a typo), click the copy button next to **Invite link** and send it to them yourself. Click **Done** when you're finished.

> [!WARNING]
>
> If the window says **Share this invite link** instead, the email couldn't be sent. Copy the link and send it to the new member directly. Anyone with the link can use it to set up the account, so send it only to that person.

When the new member opens the link, they click **Continue**, set a password and land in Mercora. See [Quickstart](https://docs.mercora.io/getting-started/quickstart.md) to send them the steps.

The link works once and expires after 24 hours.

## Send a new invite link

If an invite link expired, was already used, or got lost, create a new one:

1. Go to **Settings → Members**.
2. Find the member. Their status is **Invited**.
3. Click **New invite link** on their row. Mercora emails them the new link, and you can copy it to share it yourself.

A new link stops every older link for that member from working.

**New invite link** only appears for members who haven't set a password yet. Once someone has set their password, they sign in with it.

## Change a member's role

1. Go to **Settings → Members**.
2. In the member's **Role** column, choose the new role from the list.

The change is saved straight away. To see or change what each role allows, click **Manage roles** above the table, or go to **Settings → Roles**.

### Limits for members with User access

Admins can change anyone's role. Members whose role has **User access** at **Edit** can change roles too, with these limits:

* They can't change their own role.
* They can't change the role of an admin, or of anyone who also has **User access** at **Edit**.
* They can't give anyone an admin role, or a role with **User access** at **Edit**.

The role list only offers the roles they're allowed to hand out, and rows they can't change show the role as plain text.

## Remove a member

1. Go to **Settings → Members**.
2. Click the delete icon at the end of the member's row.
3. In **Remove this member?**, click **Remove**.

The member loses access immediately. This can't be undone. To give them access again, invite them again.

You can't remove yourself: the delete icon on your own row is unavailable.

## The last admin is protected

A workspace always keeps at least one admin. Mercora stops you from:

* Changing the last admin to a role without admin rights: "Cannot demote the last admin. Promote another member first."
* Removing the last admin: "Cannot remove the last admin. Promote another member first."

To hand over administration, give another member an admin role first, then change or remove the original admin.
